Outlook Calendar Integration
People who use Outlook / Microsoft 365 instead of Google can connect their calendar. It works like the Google Calendar integration:
| What happens | |
|---|---|
| CRM → Outlook | Your tasks with a due date appear in your Outlook calendar and move or disappear with the task. |
| Outlook → CRM | Your Outlook meetings count as busy time: client booking links, booking pages and the "who's free" list for appointments won't offer those times. Events marked Free are ignored. |
| Appointments | If you organise appointments (you are the company organiser calendar, or the assignee without Google), the client gets an Outlook invite with a Microsoft Teams link when your account supports Teams. |
Sync runs every 5 minutes. Each person connects their own calendar; an admin cannot connect it for them.
A person can connect both. Tasks go to both calendars and busy time from both is respected. When creating appointment invites, Google is used first.
One-time setup (system administrator)
Outlook calendar uses the same Microsoft Entra (Azure AD) app as Microsoft 365 mailboxes. In the Azure portal, on that app registration:
- Authentication → Redirect URIs: add
https://<your-crm-domain>/api/calendar-sync/microsoft/callback - API permissions → Microsoft Graph → Delegated: add Calendars.ReadWrite (and keep
offline_access,User.Read). Grant admin consent if your tenant requires it. - Make sure the server has
MS_CLIENT_IDandMS_CLIENT_SECRETset. If your public URL is unusual, setMS_CALENDAR_REDIRECT_URIto the exact redirect URI above. See Environment Variables.
Until the app is configured, the Outlook Calendar card does not show on profiles.
Connecting (each user)
- Open My Profile → Email & Calendar.
- Under Outlook Calendar, click Connect Outlook Calendar.
- Sign in with your Microsoft account and accept the permissions.
- You return to the CRM. Your tasks are pushed and your Outlook events are read straight away.
Use Sync now on the card to sync immediately, or the bin icon to disconnect (synced copies are removed from the CRM).
Admin overview
Settings → Calendar Connections lists who has connected a calendar. People with either Google or Outlook connected count as connected.
Troubleshooting
| Problem | What to do |
|---|---|
| The Outlook card is missing | The Microsoft app isn't configured on the server (MS_CLIENT_ID / MS_CLIENT_SECRET). |
| "Needs reconnect" | The Microsoft sign-in expired or was revoked. Click Reconnect. |
| No Teams link on appointment invites | Personal Microsoft accounts can't create Teams meetings; the invite is sent without one. Work/school accounts with Teams get a link. |
| Redirect error after signing in | The redirect URI in Azure must match exactly, including https and no trailing slash. |
